Application Privacy Policy — BMC IES Reporting

This Privacy Policy describes how Big Money CFO, LLC (“we,” “us,” or “our”) handles data accessed and processed by the BMC IES Reporting application (the “Application”). About the Application

BMC IES Reporting is a data integration application operated by Big Money CFO, LLC for use in its consulting engagements with client businesses. The Application connects to Intuit Enterprise Suite (“IES”) and QuickBooks Online (“QBO”) accounts under authorization from the account owner to retrieve financial and operational data for the purpose of producing reports, dashboards, journal entries, and analyses.

The Application is used internally by Big Money CFO, LLC. It is not offered as a public software product and is not available for general sign-up.

Definitions

  • Application refers to BMC IES Reporting, the data integration software operated by Big Money CFO, LLC.
  • Company (“we,” “us,” or “our”) refers to Big Money CFO, LLC, 6066 Churchill Ct, Ketchikan, AK 99901.
  • Client refers to a business that has entered into a consulting engagement with the Company and has authorized the Application to access their Intuit account.
  • Intuit Data refers to financial and operational data retrieved by the Application from a Client’s authorized Intuit Enterprise Suite or QuickBooks Online account.
  • Personal Data means any information that relates to an identified or identifiable individual.
  • Service refers to the Application.

Data Accessed from Intuit Accounts

When authorized by a Client, the Application accesses data from the Client’s Intuit Enterprise Suite or QuickBooks Online account, which may include:

  • Company information
  • Chart of accounts and account balances
  • Transactions, including invoices, bills, journal entries, sales receipts, payments, and deposits
  • Customer and vendor records
  • Items, products, and inventory data
  • Employee records (limited to information necessary for contracted engagements)
  • Pre-built reports including profit and loss, balance sheet, general ledger, and trial balance

Access is granted through Intuit’s standard OAuth 2.0 authorization process. The Client controls authorization and may revoke the Application’s access at any time through their Intuit account settings. Upon revocation, the Application immediately ceases to access the account.

How We Use Intuit Data

Intuit Data accessed through the Application is used solely for:

  • Producing financial reports, dashboards, and analyses for the authorizing Client
  • Generating journal entries and operational reports requested by the Client
  • Reconciliation and audit support as part of contracted CFO and controller services
  • Internal record-keeping related to the consulting engagement

We do not:

  • Sell, rent, or lease Intuit Data to any third party
  • Share Intuit Data with marketing partners or advertisers
  • Use Intuit Data to train machine learning models or artificial intelligence systems for purposes outside the engagement
  • Use Intuit Data for any purpose beyond the contracted consulting engagement with the authorizing Client

How We Share Intuit Data

We share Intuit Data only in the following limited circumstances:

  • With the authorizing Client. Reports, analyses, and other deliverables produced from the Client’s own data are provided back to the Client.
  • With Big Money CFO, LLC staff. Authorized staff acting under the engagement agreement may access Client data to perform contracted services.
  • When required by law. We may disclose data if required by valid legal process, including subpoenas, court orders, or government requests.
  • To protect rights and safety. We may disclose data when reasonably necessary to investigate or prevent fraud, security threats, or violations of our agreements.

We do not share Intuit Data with affiliates, business partners, marketing services, or other third parties for commercial purposes.

Data Storage and Security

We employ reasonable security measures to protect data accessed through the Application, including:

  • All API connections to Intuit use HTTPS/TLS encryption
  • Access credentials and OAuth tokens are stored in secured environment variables and are not committed to source code
  • Data retrieved from Intuit is stored on managed hosting infrastructure with restricted access controls
  • Access to Client data is limited to authorized Big Money CFO, LLC staff acting under engagement agreements
  • Authentication credentials are rotated when staff access changes

No method of transmission over the Internet or method of electronic storage is 100% secure. While we use commercially reasonable means to protect data, we cannot guarantee absolute security.

Data Retention

We retain Intuit Data only as long as is necessary for the purposes described in this policy and to meet our legal and contractual obligations. Specifically:

  • Active engagements. Data is retained for the duration of the consulting engagement with the Client.
  • Post-engagement retention. Data may be retained for a reasonable period after the engagement ends to support any required record-keeping, audit response, or dispute resolution. This period generally does not exceed seven years, consistent with standard financial record retention requirements.
  • Legal obligations. Data may be retained longer where required by applicable law, including tax record requirements.

When retention periods expire, data is securely deleted or anonymized.

A Client may request earlier deletion of their data by contacting us, subject to any legal or contractual retention requirements.

Client Control

Clients control the Application’s access to their Intuit data at all times. Clients may:

  • Revoke authorization at any time through their Intuit account settings
  • Request information about what data the Application has accessed
  • Request deletion of data held by the Application, subject to legal and contractual retention requirements
  • Request a copy of data the Application holds about them

Personal Data in Intuit Records

Intuit accounts may contain Personal Data about Client employees, customers, and vendors (for example, names, email addresses, billing addresses, and payment-related information). We handle this Personal Data as part of the broader Intuit Data described above. We do not separately collect, market to, or otherwise use this Personal Data outside the scope of the consulting engagement.

We do not access social security numbers, individual employee compensation details, or banking credentials through the Application unless explicitly required for a contracted engagement.

Children’s Privacy

The Application is a business-to-business tool used by professional consultants and Client businesses. It is not directed to individuals under the age of 18, and we do not knowingly collect Personal Data from individuals under 18.

International Data Transfers

The Application is operated from the United States, and Intuit Data is stored on US-based infrastructure. We do not transfer Intuit Data outside the United States as part of normal operations.

Changes to This Policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top of this policy will reflect the most recent revision. Material changes will be communicated to active Clients through reasonable means.
